The Hive Kids Clubs – Terms & Conditions
These Terms & Conditions apply to all bookings for The Hive Kids Clubs’ Breakfast Clubs, After School Clubs, and Summer Clubs. By making a booking, you confirm that you have read, understood, and agree to these Terms & Conditions.
PAYMENT
We accept payment by Visa debit/credit cards, Mastercard, and Maestro, either online via our booking portal or by calling us on 07961274550. We also accept payment via the Government’s Tax-Free Childcare scheme and most types of Childcare Vouchers.
We do not accept cash, cheques, or bank transfers.
Payment confirms your acceptance of these Terms & Conditions. The named person on the booking confirmation accepts these conditions on behalf of all persons listed in the booking.
BOOKING AMENDMENTS & LATE BOOKINGS
Permanent Places Agreement – Breakfast & After School Clubs

Any changes to contracted days are subject to availability.

Requests must be made by email to [insert email address] or by calling [insert phone number].

Changes take effect from the start of the next booking period, not the current one.

We are unable to swap permanent places on an ad hoc basis.
Ad Hoc Bookings – Breakfast & After School Clubs

Breakfast Club bookings must be made by 1:00pm the working day before.

After School Club bookings must be made by 6:00pm the working day before.

All bookings are subject to availability.
Summer Club Bookings

Bookings must be made by 6:00pm the working day before the session.

All bookings are subject to availability.
Booking Amendments

Where at least 7 full days’ notice is given, bookings may be moved to other days within the same operating period (subject to availability).

We cannot move bookings between different operating periods.
Late Bookings

Bookings made after the stated deadline are subject to availability and a £5 administration fee.
CANCELLATIONS & REFUNDS
We do not offer cash refunds. If eligible, a credit note will be issued, valid for 12 months from the date of issue.
Summer Club Cancellations (including sickness):

14+ days’ notice – 100% credit note issued.

7–13 days’ notice – 50% credit note issued.

Less than 7 days’ notice – No credit issued.
Breakfast & After School Club Cancellations:

No credit is issued unless cancellation is due to sickness/injury resulting in at least three consecutive missed sessions. A doctor’s note is required, and credit will apply from the fourth missed session onwards.
LOST PROPERTY
We advise children not to bring valuable items. The Hive Kids Clubs cannot accept responsibility for lost property. Items will be kept for four weeks before being donated to charity. Parents are responsible for postage costs if an item needs to be returned.
PHOTOGRAPHY
From time to time, we may take photographs for marketing purposes. Consent will be requested during the booking process and can be updated at any time by contacting us.
MEDICAL INFORMATION
Parents/guardians must provide full details of any relevant medical conditions, allergies, additional needs, or dietary requirements at the time of booking.
We reserve the right to refuse attendance if full information is not provided. No refunds or credits will be issued in such cases.
LATE FEES
If a child is collected late, a fee of £8.00 per child will be charged for the first 15 minutes, and an additional £8.00 for every subsequent 15 minutes.
SAFEGUARDING
Our staff have a duty to respond to any concerns about a child’s welfare. This may include reporting to appropriate safeguarding authorities, in line with our Safeguarding Policy.
RATIOS & AGE GROUPS
We meet or exceed statutory staff-to-child ratios. Depending on the day’s attendance, we may adjust age groupings to maintain safe ratios.
LIABILITY
The Hive Kids Clubs accepts no liability for personal injury or death except where directly caused by our proven negligence.
INSURANCE
All children in our care are covered by our Public Liability Insurance.
EXCLUSION & SUSPENSION
We reserve the right to exclude or suspend a child if their behaviour compromises the safety, welfare, or enjoyment of others. No refunds or credits will be issued.
PROGRAMME CHANGES
We reserve the right to alter our services, activities, or venue due to circumstances beyond our control (e.g., bad weather, building faults, equipment failure) without refund or compensation.
POLICIES & PROCEDURES
Copies of our policies are available on request or can be viewed at our venues.
ENFORCED VENUE CLOSURE
If a club is forced to close due to circumstances beyond our control (e.g., extreme weather, infectious disease outbreak, strike action), fees remain payable and no refunds will be issued.
