The Hive Kids Clubs – Refund & Credit Policy

At The Hive Kids Clubs, we aim to provide a fair and transparent approach to cancellations, credits, and refunds while ensuring the sustainability of our programmes.

 

​​General Policy

  • We do not issue cash refunds for any cancellations.

  • Where applicable, we will issue a credit note that can be used towards future bookings.

  • Credit notes are valid for 12 months from the date of issue and are non-transferable.

  • All booking changes and cancellations must be made via info@hiveclubs.co.uk 

Breakfast & After School Clubs

 

Ad Hoc Bookings

  • No credits will be issued for cancellations unless at least 7 full days’ notice is provided.

  • If less than 7 days’ notice is given, the session will be charged in full.

 

Permanent Places Agreement

  • Contracted days cannot be refunded or credited unless the cancellation is due to child sickness/injury that results in three or more consecutive missed sessions.

  • In these cases, a doctor’s note is required, and credit will be issued for the fourth and subsequent missed sessions.

Summer Club Bookings

 

  • 14+ full days’ notice – 100% credit issued.

  • 7–13 full days’ notice – 50% credit issued.

  • Less than 7 full days’ notice – No credit issued.

Child Sickness or Injury

 

  • For extended sickness or injury, a doctor’s note is required to issue a credit.

  • Credits will only apply from the fourth consecutive missed session onwards.

Venue Closures

 

If a session is cancelled by The Hive Kids Clubs due to unforeseen circumstances (e.g., venue closure, extreme weather, staff shortage), we will issue a full credit for the affected session(s).

Non-Attendance

 

No credits or refunds will be issued for sessions missed without prior cancellation in accordance with this policy.

How to Request a Credit

 

All requests must be made in writing to [insert email address]. Please include:

  • Child’s full name

  • Date(s) of the booking(s)

  • Reason for cancellation

  • Any supporting documents (e.g., doctor’s note if applicable)
